Why structured RFQs produce better quotations

A short message asking for a catalog and best price rarely produces a usable quotation. Suppliers may quote different materials, accessories, packaging or quality levels, which makes price comparisons misleading.

A structured RFQ gives every supplier the same application and commercial requirements. It also makes missing information visible before samples or tooling are ordered.

Product and fitment fields

  • Product name and installation position
  • OE number, cross reference or drawing number
  • Vehicle make, model, year and chassis code
  • Material, construction and required accessories
  • Required testing, approval or destination-market marking
  • Reference sample availability

Commercial fields

  • First-order quantity and estimated annual demand
  • Target market and destination port
  • Neutral packaging or private-label requirements
  • Barcode, label language and carton-mark requirements
  • Target Incoterm and preferred payment method
  • Sample quantity and required delivery date

How to compare supplier responses

Compare quotations line by line. Confirm that price includes the same accessories, packaging, testing and delivery term. Record sample lead time, production lead time, warranty handling and document availability alongside unit price.

Before placing a production order, issue an approved specification sheet or sample record. The final purchase order should reference the agreed part number, revision, packaging and inspection requirements.
